Logging a Dispense

Step-by-step guide to recording a prescription fill.

Overview

Every time you dispense a controlled substance to a patient, you must log a dispense in C2 Vault. This decreases your inventory and creates a permanent record of the transaction.

Dispenses can be logged from the Inventory page or directly from the Dispenses page.

How to Log a Dispense

There are two ways to log a dispense:

Option 1: From the Inventory Page

  1. Navigate to Inventory from the sidebar.
  2. Click on the product you dispensed.
  3. Click Dispense from the quick action toolbar.

Option 2: From the Dispenses Page

  1. Navigate to Dispenses from the sidebar.
  2. Click New Dispense in the top-right corner.

The Log New Dispense modal will open.

Fill in the Details

Date — The date of the dispense. Defaults to today.

Time — The time of the dispense. Defaults to the current time.

Inventory Item — Search by NDC or drug name. The product must already exist in your inventory.

Quantity Dispensed — The number of units being dispensed.

RX Number — The prescription number. This is encrypted and stored securely.

Note (optional) — Any additional context you want to record (e.g., special instructions, follow-up).

Save the Dispense

Click Log Dispense.

The product's stock will decrease by the quantity you entered.

What Happens After

Once saved:

  • The dispense appears on the Dispenses page with the date, time, product, NDC, quantity, and RX number.
  • The product's stock level updates immediately.
  • The transaction is recorded in the product's Activity history and the Audit Log.
  • The dispense is permanently tagged with your initials for accountability.

Stock Warnings

C2 Vault checks your stock in real time as you log a dispense:

Insufficient stock — If the quantity you are trying to dispense is more than what is available, the system will block the submission and ask you to verify the amount.

Low stock warning — If the dispense will bring the stock to or below the reorder threshold, you will see a warning (but can still proceed).
