Logging a Receipt
Step-by-step guide to recording an incoming delivery.
Overview
Every time you receive a controlled substance shipment from a wholesaler, you must log a receipt in C2 Vault. This increases your inventory and creates a permanent record of the transaction.
Receipts can be logged from the Inventory page or directly from the Receipts page.
How to Log a Receipt
There are two ways to log a receipt:
Option 1: From the Inventory Page
- Navigate to Inventory from the sidebar.
- Click on the product you received.
- Click Receive from the quick action toolbar.
Option 2: From the Receipts Page
- Navigate to Receipts from the sidebar.
- Click Log Receipt in the top-right corner.
The Log New Receipt modal will open.
Fill in the Details
Date Received — The date the delivery arrived. Click the calendar icon to select a date.
Invoice Number — The invoice or reference number from the wholesaler.
Wholesaler — Select from your saved wholesalers or create a new one by typing the name.
Add Line Items
In the LINE ITEMS section, you'll add each product included in the delivery:
- Click Search NDC or name in the Drug field.
- Search by NDC or drug name. If the product is already in your inventory, it will appear in the dropdown. If not, you can create it by entering the NDC.
- The system will display the product name, NDC, and schedule below the search field.
- Enter the Qty of units received.
- Click Add Row to add another product to the same receipt.
- Repeat for each product in the delivery.
You can remove a line item by clicking the trash icon on the right.
Save the Receipt
Once all products are added, the button at the bottom will show how many items you're submitting (e.g., "Log 3 Receipts").
Click Log [X] Receipts to save.
The products' stock levels will increase by the quantities you entered.
What Happens After
Once saved:
- The receipt appears on the Receipts page with the date, products, NDC, quantities, wholesaler, and invoice number.
- Each product's stock level updates immediately.
- The transactions are recorded in each product's Activity history and the Audit Log.
- The receipt is permanently tagged with your initials for accountability.
Filtering Receipts
Use the filters at the top of the Receipts page to narrow your view:
Date Range — Select a start date (From date) and end date (To date) to view receipts within that range.
All Wholesalers — Filter by a specific wholesaler.
Users — Filter by the staff member who logged the receipt.
Product — Search for receipts of a specific product.
Invoice # — Search by invoice number.
