Adding a Product
How to add a new controlled substance product to your inventory.
Overview
Before you can log receipts or dispenses, you must add products to your inventory. C2 Vault uses the National Drug Code (NDC) to automatically look up drug information and assign the correct DEA schedule.
You can add products individually or in bulk.
How to Add a Product
- Navigate to Inventory from the sidebar.
- Click Add Product in the top-right corner.
- In the Product field, enter the product's NDC (National Drug Code).
- C2 Vault will automatically look up the drug name and details from the NDC database. A confirmation message will appear: "Drug Information Found"
- The Drug name field will be populated automatically. Confirm or edit the Item Name if needed.
- The Schedule is automatically determined based on the NDC (Schedule II, III, IV, or V).
- Enter the Initial Stock, which is the quantity you currently have on hand.
- Set a Minimum Stock Level, which is the quantity below which C2 Vault flags the product as "Reorder Needed."
- Click Save All to add the product to your inventory.
Always verify the drug name, strength, and dosage form before saving.
Adding Multiple Products at Once
You can add several products in one session:
- Click Add Product.
- Enter the first NDC and fill in the required fields.
- Click Add Row to add another product.
- Repeat for each product.
- Click Save All when finished.
Click Cancel to discard all unsaved entries.
What Is an NDC?
An NDC (National Drug Code) is a unique 11-digit number assigned to every medication in the United States. It follows the format 12345-6789-01 and identifies the manufacturer, product, and package size.
When you enter an NDC, C2 Vault automatically fills in the drug name, packaging, dosage form, and manufacturer from a built-in database. You can edit the item name if needed.
Tips
- You can also create a new product directly while logging a receipt if the NDC is not yet in your inventory.
- Set the minimum stock level to a quantity that gives you enough lead time to reorder before running out.
- The initial stock is your starting point. After that, stock is updated automatically by receipts and dispenses.
