Managing Stock
How to view product details, stock levels, and transaction history.
Overview
The Inventory page gives you a complete view of all controlled substances in your pharmacy. You can check current stock levels, view product details, filter by schedule or status, and quickly access transaction actions.
Viewing a Product
Click on any product in the inventory list to open its detail view. You will see:
Product Information — NDC, item name, drug schedule, and manufacturer details pulled from the OpenFDA Drug Database.
Current Stock — The current calculated stock level.
Status — In Stock, Reorder Needed, or Out of Stock.
Last Audit — Date of the most recent physical inventory count for this product.
Product Type — Classification details.
Active Ingredients — Chemical composition with strength per unit.
Packaging Options — Available NDC package configurations.
Stock Statuses
Products are automatically assigned a status based on their current stock level:
| Status | What It Means |
|---|---|
| In Stock | Current stock is above the minimum stock level |
| Reorder Needed | Current stock is at or below the minimum stock level |
| Out of Stock | Current stock is zero |
When a product reaches "Reorder Needed" or "Out of Stock," it also appears as an alert on the Alerts page.
Quick Actions from the Inventory List
Click on any product row to reveal a toolbar with quick action buttons:
- Receive — Log a receipt for this product
- Dispense — Log a dispense for this product
- Activity — View all transactions (receipts, dispenses, adjustments) for this product
- View Details — Open the full product detail panel
- Edit — Update the item name or minimum stock level
- Audit — Perform a physical inventory count
- Notes — Add or view team comments about this product
You can also access these options by clicking the three-dot menu icon on the right side of each product row.
Filtering and Searching
Use the filters at the top of the inventory page to narrow your view:
- Search inventory — Search by product name or NDC
- All Schedules — Filter by Schedule II, III, IV, or V
- All Statuses — Filter by In Stock, Reorder Needed, or Out of Stock
- Show Hidden — Toggle to view products you've hidden from the active inventory list
Editing a Product
To update product details:
- Click on the product.
- Click Edit from the toolbar or three-dot menu.
- Update the Item name or Minimum stock level.
- Click Save.
You cannot edit the NDC or drug schedule. If a product's NDC is incorrect, delete the product and add it again with the correct NDC.
Changes to product details are recorded in the audit log.
Viewing Transaction History
To see all receipts, dispenses, and adjustments for a specific product:
- Click on the product.
- Click Activity from the toolbar.
- Review the complete transaction history, including date, type, quantity, stock after transaction, and the user who created it.
Deleting a Product
To remove a product from your active inventory:
- Click on the product.
- Click the three-dot menu icon.
- Select Delete.
- Confirm the deletion.
This removes the product from your inventory list but preserves all historical records (receipts, dispenses, adjustments) in the audit trail.
You can also choose Hide Item to remove it from the active list without deleting it. Hidden items can be restored by enabling the Show Hidden filter.
